Somewhere in Dubai or Dar es Salaam, at nine at night, a sourcing manager has your site open in one tab and two competitors in the other two. He has perhaps four minutes for the decision to write to you or not. He wants specific things in a specific order, and if he cannot find them he closes the tab, appearing in your analytics as nothing but a bounce.
A website for manufacturers is built for that visit. Not for the promoter's cousin who wants a bigger homepage banner.
The catalogue is the site
On a factory website the catalogue is not a section. It is the architecture, and everything else hangs off it.
Four levels usually suffice: a range or division, then a product category, then a product family, then a variant page where a variant has earned one. Every level gets a real URL a buyer can paste into an email, because that is what happens to your pages. A junior engineer finds you, copies the link, and a purchase head opens it a week later with no memory of how it arrived.
Two things to settle at build time. Slugs should read like the product, not like a database ID, and they must survive a redesign, because an old link in somebody's email thread is a live sales channel. And technical values belong in an HTML table, not a picture of one, so they can be read on a phone, copied into a comparison sheet and found by a search engine. Documents: publish them, and stop asking permission
Every manufacturer eventually asks whether to put the spec sheet behind a form. Our answer is no, with one narrow exception.
The reasoning is short. Whoever downloads a data sheet is deciding whether your product qualifies for his application at all. He has three suppliers open. Two publish the sheet, you demand a form. You have removed yourself from a shortlist, and the address you were protecting was going to be [email protected] anyway. Consultants will not fill a form for a document, and consultants write the specifications that name suppliers.
So publish: data sheets, dimensional drawings, installation guides, material test certificates, and the catalogue PDF for the buyer who wants the whole thing. Name the files properly, keep them current, and put the enquiry form on the same page as the download rather than in front of it.
The exception worth arguing over is a CAD file. A DXF or STEP model has real value and earns a form, because a designer putting your model into his assembly is far past browsing. Even there, four fields, no more.
Test reports and certificates
Publishing what you are certified to is a factual statement about your plant, and overseas buyers read its absence as an answer. Give it a page of its own rather than a footer line: which certifications the plant holds, their scope, what third-party testing you can arrange, what a mill test certificate from you looks like. Keep it dated. A lapsed certificate on display does more damage than no page at all.
What the export buyer needs before he writes
This is where most Indian manufacturing sites stop, and it is the cheapest gap to close. An overseas sourcing manager needs seven things visible, and he needs them without asking.
Units in both systems. Millimetres and inches. Kilograms and pounds. Bar and psi. Not a converter widget, both figures in the table.
HS codes. His customs broker will ask, and the eight-digit Indian HSN is not always what he needs. Put the code on the family page.
Incoterms you actually work on. FOB Kolkata or Haldia, CIF, ex-works, whichever apply. A buyer who cannot tell whether your price includes freight cannot compare you to anyone.
Minimum order quantity, honestly stated. In his units, and by container where that is how you ship. A buyer who discovers your MOQ after two weeks of correspondence does not come back.
Packing for sea freight. How the goods are packed, palletised, marked and protected against a monsoon-season container. This question decides deals in a way domestic buyers never see.
Documentation. Which documents accompany a shipment: invoice, packing list, certificate of origin, test certificate, insurance. He is checking whether your paperwork will clear his customs desk.
Lead time from order, not from enquiry. Stated as a range, with what makes it the longer figure.
Language matters less than people expect. Plain English written for a second-language reader beats a badly machine-translated Arabic page. Short sentences. No idiom. Numbers doing the talking.
RFQ against contact form
A contact form and a request for quotation are different objects and should not share a page.
A contact form is for the generic enquiry: a job seeker, a supplier of raw material, somebody asking a question. Keep it, keep it short, and expect little from it.
An RFQ form is a commercial document in miniature. It carries the product family or part number, the grade, quantity with a unit, the destination, the required-by date, the Incoterm to quote on, and whether third-party inspection is needed. Let him attach his own drawing, because that upload field saves a fortnight of email. Put an RFQ button on every product page and carry the product through into the form, so nobody retypes what the page already knows.
Then route it. An export RFQ, a distributor approach and a domestic enquiry should not share an inbox, and those enquiry types are worked through in B2B lead generation in Kolkata.
Plant and capability pages, written for a technical reader
The About page most factories publish is a paragraph about commitment to quality. Replace it with something a buyer can audit.
Build order, if the budget is staged
Catalogue structure first, because everything else attaches to it. Then documents published and organised. Then the RFQ form and its routing, since an enquiry route with nothing behind it is a wasted page. Then capability, plant and certificates. Then export terms as a section of their own. Homepage last, always, because the homepage is a summary of what exists and cannot be written before it exists.
